About the role
The Payroll Specialist is responsible for processing all payroll functions to ensure timely and accurate payment for agency employees, including benefits and compliance with federal and state reporting requirements. This role reports directly to the Director of Internal Business Services and plays a key part in maintaining accurate payroll records and audit trails.
Key responsibilities
- Prepare and process monthly payroll, ensuring accurate compensation for all employees.
- Maintain employee payroll information such as salary placement, benefit enrollment, deductions, direct deposits, leave time, retirement data, and employment contracts.
- Assist with agency budgeting and state reporting by processing personnel assignments and budgetary data.
- Process fiscal information including payments, PFML/FMLA, retirement, benefit eligibility, court‑ordered adjustments, and payroll record subpoenas.
- Prepare external and internal payroll reports (e.g., quarterly and annual tax reports, W‑2s, PFML information) to meet regulatory requirements.
- Research and resolve discrepancies in payroll data, timesheets, leave records, and benefit eligibility.
- Reconcile enrollment forms and billing information for health insurance, retirement, and other benefits.
- Respond to employee and external inquiries regarding payroll, benefits, garnishments, and employment verification.
- Develop and refine payroll processes, reporting procedures, and internal controls.
Required profile
- Experience processing payroll and handling related benefits.
- Knowledge of federal and state payroll tax regulations and reporting requirements.
- Strong attention to detail and ability to maintain accurate audit trails.
- Ability to research, verify, and resolve payroll discrepancies.
- Effective communication skills for responding to employee and agency inquiries.
